How Many Real Estate Leads Do You Need to Hit Target?

Every real estate sales target works backwards. You want a set number of bookings this month — so how many leads do you actually need to start with? This page explains the real funnel in plain steps, then a calculator does the math for you.

Most brokers guess this number, then either overspend on leads or fall short. And most guesses are wrong because they use a funnel that’s too simple. Let’s build the real one, step by step — slowly, so it’s clear even if numbers aren’t your thing.

Your real estate funnel has 5 steps, not 3

Most people picture “leads turn into bookings.” Real estate is never that clean. Between a raw lead and a booking there are hidden steps where you lose people — and those hidden steps are exactly where the money leaks. Here are the five real ones.

Step 1 — Leads, and how relevant they are. A lead is anyone who shows interest: a form on 99acres, a Facebook ad click, a phone enquiry. But leads are not equal. A relevant lead has the right budget, the right area, and real intent. A junk lead is a wrong number or a time-waster. Relevancy at the top decides everything below it. Junk leads never pick up — so a cheap lead source with bad quality costs you more, not less.

Step 2 — Meaningful calls: did you actually reach them? Dialing a number is not a call. A meaningful call is when the lead picks up and you have a real conversation. Many leads never answer — wrong time, wrong number, or you called too late. The share of leads you truly reach is your connect rate, and it’s the first place most teams bleed leads without even knowing.

Step 3 — Site visits booked. Of the people you actually spoke to, some agree to come see the property. That’s real interest, and the first strong buying signal.

Step 4 — Site visits done. Here’s the step everyone forgets: a booked visit is not a done visit. No-shows are huge in real estate — people say yes and don’t turn up. Only the visits that actually happen can become bookings.

Step 5 — Bookings. Of the people who really visited, some book. That’s the sale — the only step that pays you.

So the real chain is: Leads → Meaningful calls → Site visits booked → Site visits done → Bookings. You lose people at every arrow. The calculator runs it backwards — you enter your booking target, and it tells you how many of each step you need above it.

Here’s what each box means, in plain words. Guessing is fine to start — fix the numbers once you track a real month.

  • Booking target — deals you want to close this month.
  • Lead → meaningful call (connect rate) — of 100 leads, how many you actually reach on a call. Better sources and fast calling raise this. Guess 50 if unsure.
  • Meaningful call → site visit booked — of the people you reach, how many agree to visit. Guess 40.
  • Site visit booked → site visit done (show-up rate) — of booked visits, how many actually happen. Reminders raise this. Guess 60.
  • Site visit done → booking (close rate) — of people who visited, how many book. Guess 25.

How the math works

Four rates decide everything. Multiply them and you get your lead-to-booking rate. Divide your target by that rate and you get the leads you need to start with.

Leads needed = target ÷ (connect % × call-to-visit % × show-up % × close %)

An example, using the calculator’s defaults. 50% connect × 40% visit-booked × 60% show-up × 25% close = 3%. To get 5 bookings you need 5 ÷ 0.03 = 167 leads. And on the way there: about 84 meaningful calls, 34 visits booked, and 20 visits actually done. Miss any one of those and you miss the 5 bookings.

Don’t know your rates? Use real benchmarks

If you’ve never measured, start with typical ranges, then refine once you track a real month. In Indian real estate these vary a lot by source and city, but you’ll commonly see:

  • Connect rate: 30-60% (portal and referral leads connect far better than cold ad leads)
  • Call to site visit booked: 25-45%
  • Show-up rate: 50-70% — meaning 30-50% of booked visits are no-shows
  • Close rate (visit to booking): 15-35%

The cheaper way to hit your target

Now the important part. Four rates instead of one means four places to improve — and each one multiplies the others. Watch what that does.

Keep the target at 5. Raise your connect rate from 50% to 65%, and cut no-shows so your show-up rate climbs from 60% to 75%. Leave the rest. The leads you need drops from 167 to about 103 — that’s 64 fewer leads every month, for the same 5 bookings. Same target, far less ad spend.

How do I reduce site visit no-shows?

No-shows are the gap between visits booked and visits done — often 30-50% in real estate. The fixes: confirm the appointment, send a reminder the day before and the morning of, and keep the follow-up warm right up to the visit. Watch for overload — a rep who gets more leads than they can call in a day drops the extra, your connect rate falls, and those dropped leads are wasted money.
