A customer fills a form on 99acres. Then browses Housing.com and fills another form. Your team gets 2 leads. Two people call the same person. The customer gets annoyed. You paid for both leads but it was always one person.
This happens every single day. Most teams don’t even realize it.
> Business Impact: Industry data shows 15-20% of real estate portal leads are duplicates — the same person enquiring from multiple portals. For a team spending ₹1 lakh/month on portals, that’s ₹15,000-20,000 wasted on leads you already have. Worse, double-calling the same person makes your brand look unorganized.
How duplicates actually happen
A buyer named Rahul is searching for a 2 BHK in Andheri. He does what every buyer does:
- Monday morning — fills an enquiry on 99acres
- Monday afternoon — fills another enquiry on Housing.com
- Tuesday — clicks a Facebook ad and submits his number
- Tuesday evening — calls your office number directly
Without dedup, your CRM now has 4 separate leads for Rahul. Four different callers might call him. Rahul picks up the 3rd call and says:
“I already spoke to someone from your company. Why are you calling again?”
You just lost trust in 3 seconds.
The real cost (it’s more than you think)
Let’s do the math for a typical team:
| Metric | Without Dedup | With Dedup |
|---|---|---|
| Leads received per month | 500 | 500 |
| Duplicate rate | 15-20% | Flagged automatically |
| Actual unique leads | 400 (but you think it’s 500) | 400 (and you know it) |
| Wasted calls on duplicates | ~200 calls/month | 0 |
| Time wasted (at 3 min/call) | 10 hours/month | 0 |
| Annoyed customers | 100/month | 0 |
| Portal spend wasted | ₹15,000-20,000/month | ₹0 |
> That’s ₹2 lakh+ per year in wasted portal spend alone. Plus the deals you lost because the customer thought you were unprofessional.
How ClosingFox catches duplicates
Every time a lead arrives — from any source — ClosingFox checks the phone number against all existing leads.
- Lead arrives from 99acres with phone +91 98765 43210
- ClosingFox normalizes the number — strips spaces, adds country code, handles all formats
- Checks against every lead in your pipeline
- Match found? → Lead is flagged as duplicate. Not created again.
- No match? → New lead created normally.
It works across all sources:
- 99acres lead → Housing.com lead with same phone → caught
- Facebook ad lead → walk-in with same phone → caught
- MagicBricks lead → manual entry with same phone → caught
- Different spelling of name but same phone → caught
> Smart matching: ClosingFox handles every phone format.
> +91 98765 43210, 09876543210, 98765-43210, (022) 2345 6789 — all normalize to the same number. No duplicates slip through because of formatting.
What your team sees
When a duplicate arrives, here’s what happens:
The original lead stays untouched. The person who was already assigned to Rahul keeps working on him. No confusion, no double-calling.
The duplicate is flagged. Your admin or manager can see it was a duplicate enquiry from a different source. This is actually useful — it tells you Rahul is actively shopping. He’s a hot lead.
The source is tracked. Even though it’s the same person, ClosingFox records that he came from 99acres AND Housing.com. When you check which portal gives you the best leads, this data matters.
What about leads with no phone?
Some portals send leads with only an email or just a name. In that case:
- No phone = no dedup — the lead is created normally
- When your team adds the phone number later, the system checks again
- If a match is found, they’ll see the existing lead in search results
Phone is the strongest identifier in Indian real estate. Most buyers use one number everywhere.
Pipeline-level dedup
You can also enable unique lead per pipeline in your pipeline settings:
- Go to Settings → Pipeline Config
- Open your pipeline → Pipeline Settings
- Turn on Unique Lead per Pipeline
- Choose: Check by Phone, Email, or Both
This prevents the same person from being added to the same pipeline twice — even through manual entry or CSV import.
Bulk import dedup
Importing leads from Excel or CSV? ClosingFox deduplicates during import too:
- Checks every row against existing leads by phone
- Duplicate rows are skipped, not imported
- Shows you how many were skipped and why
- Same works for channel partners, projects, inventory, and locations
> Pro tip: If you’re migrating from another CRM or Excel, don’t worry about cleaning duplicates first. Just import everything — ClosingFox will catch them.
How to use this data smartly
Duplicates aren’t just a problem. They’re a buying signal.
If someone enquired on 3 different portals, they’re seriously looking. Tell your team:
“This lead enquired from 99acres, Housing, AND Facebook. They’re actively searching. Call them first. They’re more likely to book than someone who enquired once.”
ClosingFox tracks the source on every lead. Your reports show which portals bring the most duplicates — those are the portals where your target audience is most active.
Common questions
Will I lose the duplicate lead’s data?
No. The duplicate enquiry is flagged and recorded. You can see that the person enquired from multiple sources. No data is deleted.
What if two leads have the same name but different phones?
They’re treated as separate leads. Dedup works on phone number, not name. “Rahul Sharma” with two different phones = two different leads.
Can I merge two leads that are the same person?
Yes — duplicated leads can be merged by your admin. The call history, notes, and visits from both leads combine into one.
Does dedup work across organizations?
No. Each organization’s data is completely isolated. Dedup only checks within your own leads.
What if I WANT to add the same person again?
You can override and add manually if needed. Dedup is a safeguard for auto-capture and imports, not a lock.
