The rules and guidelines for using ClosingFox.

1. Agreement to Terms
By accessing or using ClosingFox (“the Service”), you agree to be bound by these Terms of Service (“Terms”). If you are using the Service on behalf of an organization, you represent that you have the authority to bind that organization to these Terms.
If you do not agree to these Terms, do not use the Service.
The Service is operated by Habitat Haven LLP, a limited liability partnership registered in Mumbai, Maharashtra, India (“we”, “us”, “our”, “ClosingFox”).
2. The Service
ClosingFox is a cloud-based customer relationship management (CRM) platform designed for the Indian real estate industry. The Service includes:
- A web application accessible at app.closingfox.com
- An Android mobile application
- The marketing website at closingfox.com
- Associated APIs, webhooks, and integrations
We reserve the right to modify, update, or discontinue features of the Service at any time. We will notify users of material changes via email or in-app notification.
3. Accounts & Registration
3.1 Account Creation
To use the Service, you must create an account by providing accurate and complete information. You may register using email/password or Google Sign-In.
3.2 Account Security
You are responsible for maintaining the security of your account credentials. You must immediately notify us at mail@closingfox.com if you suspect unauthorized access to your account.
3.3 Organization Accounts
ClosingFox operates on a multi-tenant model. When you create an organization, you become the administrator. You are responsible for managing users, roles, and permissions within your organization. You are responsible for the actions of all users within your organization.
3.4 Eligibility
You must be at least 18 years old and legally capable of entering into a binding agreement to use the Service.
4. Subscriptions & Payments
4.1 Plans
ClosingFox offers the following:
- Professional Plan: ₹1,700 per user per month (billed monthly) or ₹17,000 per user per year (billed annually). Includes all features, unlimited pipelines.
- Enterprise Plan: Custom pricing. Contact us for details.
4.2 Billing
Subscriptions are billed in advance on a monthly or annual basis through Razorpay, our payment processing partner. All prices are in Indian Rupees (₹) and exclusive of applicable GST.
You authorize us to charge the payment method on file for recurring subscription fees until you cancel.
4.3 Adding or Removing Users
You can add users at any time. Additional users are billed pro-rata for the remainder of the current billing cycle. Removed users will not be billed in the next cycle. No refunds are provided for mid-cycle user removals.
4.4 Price Changes
We may change pricing with at least 30 days’ written notice. Price changes will apply to the next billing cycle after the notice period. Annual plan pricing is locked for the duration of the paid period.
4.5 Failed Payments
If a payment fails, we will attempt to charge your payment method up to 3 times over 7 days. If payment is not received, your account may be downgraded or suspended until payment is resolved.
5. Guided Trial
We offer a 7-day guided onboarding of the Professional Plan with full access to all features. No credit card is required to start a trial.
At the end of the trial, you must subscribe to a paid plan to continue using the Service. If you do not subscribe, your access to the Service will be restricted, but your data will be retained for 60 days (see Section 6).
We reserve the right to modify or discontinue the guided trial at any time.
6. Your Data
6.1 Data Ownership

We use your data solely to provide and improve the Service. We do not sell, rent, or trade your data to third parties. For full details, see our Privacy Policy.
6.3 Data Portability
You may request an export of your data at any time by contacting mail@closingfox.com. We will provide your data in a commonly used format within 7 business days.
6.4 Data Retention
- Active subscriptions: Data is retained for the duration of your subscription.
- After cancellation: Data is retained for 90 days, then permanently deleted.
- Expired trial (not converted): Data is retained for 60 days, then permanently deleted.
6.5 Data Security
We implement industry-standard security measures including encryption (TLS/SSL), row-level security, JWT authentication, and role-based access controls. For full details, see our Privacy Policy.
7. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable laws or regulations.
- Upload, store, or transmit any content that is illegal, harmful, threatening, defamatory, or otherwise objectionable.
- Attempt to gain unauthorized access to other users’ accounts, organizations, or data.
- Interfere with or disrupt the Service, servers, or networks connected to the Service.
- Reverse-engineer, decompile, or disassemble any part of the Service.
- Use the Service to send unsolicited communications (spam) to leads or contacts.
- Scrape, crawl, or use automated tools to extract data from the Service beyond what is provided through our official APIs.
- Resell, sublicense, or redistribute the Service without written permission.
- Use the Service in a manner that could damage, disable, or impair the Service for other users.
We reserve the right to suspend or terminate accounts that violate these terms, with or without notice.
8. Intellectual Property
8.1 Our Property
The Service, including all software, code, design, text, graphics, logos, and the ClosingFox name and brand, is owned by Habitat Haven LLP and protected by intellectual property laws. You may not copy, modify, distribute, or create derivative works based on the Service.
8.2 Your Content
You retain ownership of all content you upload or create within the Service. By using the Service, you grant us a limited, non-exclusive license to store, process, and display your content solely for the purpose of providing the Service to you.
8.3 Feedback
If you provide us with feedback, suggestions, or feature requests, we may use them without obligation to compensate you. Such feedback becomes our property and may be incorporated into the Service.
9. Third-Party Services
The Service integrates with third-party platforms including 99acres, Housing.com, MagicBricks, Meta (Facebook/Instagram), Google, Razorpay, and others. These integrations are provided for convenience.
We are not responsible for the availability, accuracy, or policies of third-party services. Your use of third-party services is governed by their respective terms and privacy policies.
We are not affiliated with or endorsed by any property listing portal.
10. Availability & Support
10.1 Uptime
We strive to maintain high availability of the Service but do not guarantee 100% uptime. The Service may be temporarily unavailable due to scheduled maintenance, updates, or circumstances beyond our control.
10.2 Support
We provide support via WhatsApp and email during business hours (Monday to Saturday, 9:30 AM to 7:00 PM IST). Enterprise customers may receive priority support as per their service agreement.
10.3 No Warranty
The Service is provided “as is” and “as available” without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.
11. Limitation of Liability
To the maximum extent permitted by law:
- Habitat Haven LLP shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, business, or goodwill.
- Our total liability for any claim arising from or related to the Service shall not exceed the amount you paid to us in the 12 months preceding the claim.
- We are not liable for any loss of data resulting from your failure to maintain backups, unauthorized access to your account, or actions of third-party services.
12. Indemnification
You agree to indemnify and hold harmless Habitat Haven LLP, its partners, employees, and agents from any claims, damages, losses, or expenses (including legal fees) arising from:
- Your use of the Service.
- Your violation of these Terms.
- Your violation of any applicable law or regulation.
- Any content you upload, store, or transmit through the Service.
13. Termination
13.1 By You
You may cancel your subscription at any time from your account settings or by contacting us. Cancellation takes effect at the end of the current billing period. You will not be charged for subsequent periods.
13.2 By Us
We may suspend or terminate your account if:
- You violate these Terms or our Acceptable Use policy.
- Your payment is overdue for more than 14 days.
- We are required to do so by law.
- We discontinue the Service (with at least 90 days’ notice).
13.3 Effect of Termination
Upon termination, your access to the Service will be revoked. Your data will be retained for 90 days (see Section 6.4) and then permanently deleted. You may request a data export before deletion.
14. Refund Policy
14.1 7-Day Money-Back Guarantee
14.2 After 7 Days
Refunds are not available after the 7-day money-back period. You may cancel your subscription at any time, and it will remain active until the end of the current billing period.
14.3 Annual Plans
For annual plans, the 7-day money-back guarantee applies to the first 7 days after payment. After that, no pro-rata refunds are issued for early cancellation. Your access continues until the end of the annual period.
15. Governing Law & Disputes
These Terms are governed by and construed in accordance with the laws of India.
Any disputes arising from or related to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts in Mumbai, Maharashtra, India.
Before initiating legal proceedings, both parties agree to attempt to resolve disputes through good-faith negotiation for a period of 30 days.
16. Changes to Terms
We may update these Terms from time to time. When we make material changes, we will:
- Update the “Last updated” date at the top of this page.
- Notify you via email or in-app notification at least 15 days before the changes take effect.
Your continued use of the Service after changes take effect constitutes acceptance of the updated Terms. If you disagree with the changes, you may cancel your subscription before they take effect.

18. Grievance Redressal
If you have any grievances regarding the Service, your data, or these Terms, you may contact our designated Grievance Officer:

Response time: We will acknowledge your grievance within 48 hours and resolve it within 30 days of receipt.
If you are unsatisfied with our resolution, you may escalate the matter to the Data Protection Board of India under the Digital Personal Data Protection Act, 2023, or approach the courts in Mumbai, Maharashtra as per Section 15 of these Terms.
19. Data Export
You may export your CRM data at any time in CSV format using the bulk export feature within the application. Upon account termination, you will have 90 days (or 60 days for expired trials) to export your data before it is permanently deleted.
